PPMA Consultation – Making Plans For The Future

I hope this message finds you well.  We are definitely hurtling into Autumn after a wonderful and unexpected hot summer.  It’s incredible to think that we are already in October.  This year has gone so very very quickly – and before we know it, it will be Christmas!

I’ve been reflecting back on the correspondence that I first sent to you about our plans to undertake a review of the Governance arrangements for our Association which was shortly after Conference in the North East.  That seems such a long time ago now, which may well be a sign of how much we have achieved so far this year.

I’m really pleased to share with you that the consultation on our new structure has concluded – and that 90% of our voting community agreed with our proposals. This is fantastic news and a real vote of confidence in our plans for the future.

I would like to extend a huge thank you to everyone who took the time to get involved in the review – read the correspondence – raised questions – and not least vote!   Taking into account the voice of our membership community has always been at the heart of this work.  The fact that you took the time to get involved is very encouraging.

Our new structure is critical in ensuring we’ll be around for at least another 43 years.  It will:

  • Provide us with the ability to create greater capacity from a broader pool of volunteers contributing to the day to day operations of the association
  • Create greater support to the Membership and Sponsor community by enhancing the capacity of the core support team through the appointment of an Executive Director
  • Enabling effective continuity between future Presidents and Vice Presidents by extending their term of office up to two years
  • Opening up stronger links with and between our next generation of leaders and existing experienced practitioners
  • Enabling us to positively promote and deliver against our promises to our Membership Community and Sponsors.

We have a lot of work to do to put our new plans in place. Our immediate focus is to fill our structure and this task is the primary focus of the remainder of this message. We will be sending out our September newsletter shortly, but our restructure deserves a message of it’s own.

Please take time to read the message in full – we are actively encouraging you to get involved in a range of new roles.

There are a few key roles which remain unchanged in the new PPMA structure, these are President,  Treasurer, Secretary and the new role of Interim Executive Director which was introduced last year.  In addition, there is no change to our Northern Ireland Regional Chair.

All the other roles are new or substantially changed.   Before I set out our next steps, I want to say a few things about our current Board members. A number have advised us that, whilst they support our changes, it is time for them to step aside in order that we create opportunities for fresh faces to enter our broader leadership community.

The remaining members have expressed their desire to remain and proactively participate in implementing our new structure. I’m personally delighted that we will be able to harness their experience and wisdom as we look ahead to our future.

On behalf of all of you, I want to publicly thank our outgoing Board members for all of the work they have done for the association. I’m sure they will remain members and make a substantial contribution to the association.  In particular, Caroline Nugent as Current Past President for 2018/19 will be holding our inaugural Past President’s event, which is designed to ensure that future outgoing Presidents have a dedicated event to contribute in the year after their Presidential term.  We will look forward to hearing about this event in a future blog.

I also want to express my gratitude to those who wish to remain. Those of us who are in leadership roles know only too well how much work goes into the association.  We are all volunteers, so the dedication our office holders show is to be even more admired.

Implementing our new structure

The result of the vote will now be reflected in the Articles of Association.  This is the formal legal document that sets out the terms of operation and is lodged with Companies House.  Stuart Elrick will be concluding this task on our behalf and once drafted we will circulate a copy for your information.

I would like to take the opportunity to thank Stuart for supporting us with the task of overseeing the voting process and developing the revised Articles of Association.  Stuart’s history with the organisation means that we couldn’t be in better hands with this work.

Our current Board members met for our regular annual 2 day September Board meeting on 27th and 28th September in beautiful Oxford. Our days were very productive and we confirmed our next steps in terms of implementing the structure.

Additionally, I am pleased to say that on Friday we were joined by our Platinum and Gold sponsors and a number of our MOU partners. This was a great opportunity to share our plans with them. It was a hugely constructive session and we have generated great ideas

In terms of our recruitment process, it is essential that we adopt the advice that we give our own organisations – and we ratified this at last week’s  meeting. That is, whilst we recognise that we have incumbents who want to be considered for new roles, it’s also appropriate that we open up recruitment more widely to all current members of PPMA.

In this way we will ensure we have the best of the wisdom and experience of current leaders and the best of the new energy and ideas in our broader community. We all feel that is an important message to send to our community.

Current Board members are in the process of indicating which role(s) they are interested in.

We are now opening up that same opportunity to you. The available roles are set out below.  Our process and timeline is also set out at the end of this message – please ensure you read that carefully.

We are asking for expressions of interest for the following roles.

Vice President:

  • Regions
  • Strategic Themes
  • Talent and Membership

Regional Champions for the following regions:

  • Midlands and Wales
  • North
  • South West
  • South East

Strategic Theme Leads:

  • Developing our Organisations
  • Digital
  • Evidence
  • Future Workforce
  • Leadership
  • Transformation
  • Wellbeing

Our Let’s Talk: You theme will be covered by the VP Talent and Membership role.

Chair – Shires Network

Each role, with the exception of the VP roles can have a Lead and a Deputy.

We are also seeking expressions of interest for our new concept of Ambassador – this enables you to support PPMA with as much time as you can realistically offer in support of one of our 8 strategic themes.  It is important that you share with us how much time you can commit to our work programme for the year ahead – this can be as little as 1 day per year upward.  You should also highlight which strategic theme(s) you are able to support.

You can find out more information about the roles here.

Eligibility and timelines

These roles are open to all eligible PPMA members.  If you have any questions about eligibility please contact us urgently at [email protected].

If you wish, you can express interest in a maximum of 2 roles.

You should submit your expressions of interest via email by Friday October 19th 2018 to [email protected]

Your submission must set out in 350 words why you are interested in joining the PPMA Leadership Community – the experience you are bringing – what you looking to gain from the experience – whether you wish to be considered as a Lead or a Deputy – and what is your first and second choice.

Where possible we will seek to match first preferences however where there is more than one volunteer for a role an interview will be held with representatives from the Principal Officers – President/ Secretary/ Executive Director.

The outcome from expressions of interest will be shared with you by the beginning of November and where interviews are required they will take place during November.

We will be formally launching the new structure at the end of November.

If you have any questions about the process or the available opportunities please send them to Leatham at [email protected] or me at [email protected].

We very much look forward to receiving your applications.

Karen, Leatham and Steve.
